1. Please note our tour providers are not permitted to sell packages to US residents. To apply for a place in the New York Marathon, you must be a non-US resident.
2. By registering for The TCS New York Marathon 2024 (and paying your £295 non-refundable* registration fee) you are pledging to raise at least £2500 (minimum sponsorship) for the National Autistic Society which you undertake to send to the National Autistic Society with at least 80% being paid by 31st July 2024 and the remainder by 5th January 2025 (two months after the event) *see points 7 and 8.
3.To take part in this event you must be 18 or over on the date of the event and you travel at your own risk. Your passport must have at least six months validity from the date that you return to the UK and it is your responsibility toapply and pay for a visa to enter the USA. If you are refused entry or exit, you are responsible for any additional costs incurred.
4. You agree to represent and raise money exclusively for the National Autistic Society in this marathon.
5. Of sponsorship monies raised (inclusive of registration fee), £1,864 will be used to cover the costs associated with participation in this challenge and for your accommodation.. The remainder of your sponsorship money, and any additional funds raised will go directly towards the work of the National Autistic Society, and cannot be restricted to any particular programme, service or branch. Any gift aid that the charity is able to claim will not count towards your minimum sponsorship requirement.
6. You must ensure that your sponsors are aware that part of your minimum sponsorship will cover your challenge costs. Some participants choose to pay their challenge costs themselves, so they can tell their sponsors that all their money is going to the National Autistic Society.
7. Upon registering for a New York Marathon 2024 place with the National Autistic Society and paying your £295 registration fee, you must purchase travel insurance to cover the entirety of your trip, ensuring that the policy covers your participation in the New York Marathon and the costs relating to your travel. If you do anything to void your insurance (including not declaring a medical condition) you will be solely responsible for any and all consequential additional costs. The charity will not be liable for the costs arising from any injury, illness or death suffered by you whilst travelling to or from the event, nor during the event. The National Autistic Society will only pay the deposit for your New York Marathon 2024 package upon seeing proof of your travel insurance policy. Proof can be a photocopied or email version of your cover and is to be sent to myevent@nas.org.uk. We highly recommend taking up a travel insurance policy with our tour provider, Sports Tours International, if you do not already have the necessary level of cover with your current travel insurance policy.
8. Should you have to withdraw for any reason, you should inform us in writing or via email, send all sponsorship forms and money collected directly to the charity, and notify your sponsors that you are no longer taking part. All sponsorship monies will be retained by the National Autistic Society unless your sponsors request in writing that the National Autistic Society return it to them within one month of your cancellation (not applicable for online donations). If you do choose to withdraw from the event, we are unable to refund any or all of your registration fee.
9. If the event is cancelled for any reason, we agree to reimburse part of the registration fee, provided we are able to recoup costs associated with the event. For more information on this point, please contact myevent@nas.org.uk.
10. Further to point 6, you will then be asked to make a claim to your insurance provider to ensure that the National Autistic Society recovers any costs that have gone towards paying for your entry package for the New York City Marathon 2024. Upon your claim being successful, you will be required to send the monies from your claim, in full, to the National Autistic Society within 2 weeks of receiving the money from your claim.
11. You must comply strictly with the rules and terms and conditions of the organiser, New York Road Runners (NYRR). NYRR specialises in challenges of this nature and is solely responsible for organising and running the event, including the safety of participants. Neither the National Autistic Society nor NYRR will accept liability for any injury, loss or damage unless it arises from the negligence of the National Autistic Society or NYRR as the case may be.
12. The swapping or sale of race numbers is strictly prohibited for reasons of safety and for identification by medical staff.
13. You understand and accept that yourself, and each other participant, is responsible for their own actions whilst participating in the event, and that The National Autistic Society accepts no responsibility for your actions or the actions of any other participant, nor for the consequences of such actions, and that this includes any participation in any additional or third-party activity before, during or after the event.
14. You understand and accept that you take part in the event at your own risk and agree that, as far as you are aware, you are suitably fit and physically able to take part in the event. If you at any stage have any doubt about your health or have a medical condition that could be affected by exercise, you will obtain your doctor’s approval before participating in the event. You understand that you am solely responsible for acting on the doctor’s advice and the National Autistic Society shall not be held responsible for any injury or illness that may be caused as a result of the event, irrespective of whether or not you have taken my doctor’s advice regarding
participating.
15. You understand and accept that yourself, and each other participant, is responsible for their own actions whilst participating in the event, and that The National Autistic Society accepts no responsibility for your actions or the actions of any other participant, nor for the consequences of such actions, and that this includes any participation in any additional or third-party activity before, during or after the event.
16. You understand and accept that you take part in the event at your own risk and agree that, as far as you are aware, you are suitably fit and physically able to take part in the event. If you at any stage have any doubt about your health or have a medical condition that could be affected by exercise, you will obtain your doctor’s approval before participating in the event. You understand that you are solely responsible for acting on the doctor’s advice and the National Autistic Society shall not be held responsible for any injury or illness that may be caused as a result of the event, irrespective of whether or not you have taken my doctor’s advice regarding participating.
17. You must complete the race on foot and not introduce any wheeled vehicle.
18. You must not suffer from alcohol or drug dependency, nor have any criminal convictions that are not disclosed at the time of applying to participate.
19. You will be responsible for providing your own personal equipment.
20. We advise that you train for the event and prepare for your challenge. If you have not exercised for some time, you should consult your doctor for a check-up and abide by any advice given.
21. You hereby agree that images or footage taken of me at the event may be used by the National Autistic Society in future promotional material including our websites, social media and charity magazines and reports, unless you withdraw your consent in writing.
22. You agree that through signing up to this event you are representing the National Autistic Society and will abide by the charity's values. The National Autistic Society reserves the right to reject at any time any applicants/participants that are poorly representing the charity's values or who are believed to be fraudulent. The National Autistic Society will not be liable in any way for costs associated with the event that may be lost due to the rejection.
